Can clients book without choosing a service provider or staff?

If you prefer that your clients are not forced to choose which service provider (staff) they book with, you can adjust the Service Booking Options so that the appointment is manually assigned by your admins or staff.  

Each service has 3 Booking Options to choose from under Settings > Services.

All options take into account to the number of Service Providers, Stand-Alone Resources and Resources available for a particular Service at a given time to prevent double bookings. 

1. Must first choose a Service Provider or Resource to see available times.  

  • This is the most common booking option and should be selected unless you have a specific business need to choose a different option. If you are a Solo Practice, only 1 Service Provider, always choose Option 1. The appointments will always be assigned to you.
  • Bookings limited to available number of Add-On Resources. Add-On Resources are things like equipment or rooms that are assigned to a service that may limit the number of bookings that can be made at any time.

2. Can see available times without first choosing a Service Provider or Resource.

  • Booking Option 2 allows clients to see available times without first choosing a Service Provider. This works well if clients don't have a preferred Service Provider. New clients may not be familiar with your Service Providers or Resources and simply want to book a service and not fussy about who they book with. 
  • Bookings limited to available number of Service Providers or Stand-Alone Resources as well as Add-On Resources.

3. Cannot choose a Service Provider or Resource. Appointments must be assigned by the business from the admin calendar.

  • Booking Option 3 forces clients to book without choosing a Service Provider or Resource. These appointments will appear as TBA (To Be Assigned) in your calendar and will require you to manually assign them in order to complete the booking.
  • Bookings limited to available number of Service Providers or Stand-Alone Resources as well as Add-On Resources.

Tip: We recommend assigning appointments to Service Providers or Stand-Alone Resources as soon as possible to avoid scheduling conflicts.

You will be notified of “TBA Appointments” through a notation to the upper right of your calendar.  Select the "To Be Assigned" or "TBA" on mobile screens, to display a list of appointments to be assigned.  Click the date to go to that day in the calendar to make the assignment.

 

To stay in the loop about bookings that need to be assigned, you may want to setup TBA (To Be Assigned) email notifications sent to a specific email address that is regularly monitored. Setup TBA notifications under Settings > Notifications > Additional Notifications.
